What dentists ask about an AI receptionist.
Grace is Dentify’s AI receptionist for dental practices. Here are straight answers to what dentists ask about her, and where there’s a video, Tamer answers it himself.

- Grace:Thanks for calling Atwater Dental Care. This is Grace. How can I help you?
- Caller:Hi Grace, I just moved into town and I was wondering if you guys are accepting new patients, and if you guys accept Aetna PPO.
- Grace:Yeah, welcome to the area. We are accepting new patients and we’re in network with Aetna PPO. What were you needing to come in for?
- Caller:Just a cleaning and an exam.
- Grace:Alright, so let’s get your info down. What’s your first name?
- Caller:Sam.
- Grace:Okay, Sam. And your last name?
- Caller:Wilson.
- Grace:All right, Sam Wilson. Were you thinking morning or afternoon for your visit?
- Caller:I’m only available Thursday morning, so just whatever Thursday in the next month you guys have available in the morning.
- Grace:Okay, so you’re looking for a Thursday morning next month. One sec, let me take a look here and see what’s open.
- Grace:All right, so for Thursday morning next month, I’ve got an 8 o’clock or a 10 o’clock. Does either of those work for you?
- Caller:Yeah, 8 o’clock is good.
- Grace:Okay. All right, got you down for 8 o’clock Thursday morning. And what’s your date of birth?
- Caller:11-12-98.
- Grace:November 12th, 1998. And a good callback number for you?
- Caller:Give me a callback at 209-555-0113.
- Grace:Okay, 209-555-0113. Did I get that right?
- Caller:That’s good with me, yeah.
- Grace:Okay, Sam, so I’ve got you down for Thursday, August 6th at 8 o’clock in the morning. Did I get that right?
- Caller:That’s perfect.

Will patients be able to tell it’s AI?
Some might. Most callers just want to get something booked or ask a question. If a caller seems unsure who they’re talking to, Grace tells them she’s an AI assistant.
What about my older patients?
Grace talks plainly and waits until they’re done talking. If she doesn’t catch something, she asks them to repeat it. If they want a real person, she takes a message for your desk.

Older patients are completely fine. The AI talks plainly, slowly and clearly, just like your front desk would. She waits until they’re done talking. A long pause won’t let her cut in and start talking nonsense. If the AI doesn’t really understand what the older patient says, it will ask the caller to repeat what they said, because, of course, it’s very important that every detail is verified. That’s another system we have, where important details like date of birth, phone number and name, we ask the patient to actually spell out, because it’s very important that we match it. And if these people want a real person, basically, what Grace will do is take a message and send it to your PMS system directly, so you don’t need to use any external software. For example, if you use Open Dental, you will get a notification on top, covering what happened in the call and what to call back the patient with.
Can it handle my existing patients?
Yes. She pulls up the chart with the caller’s name, birthday and phone number, so details already on file don’t get asked again.
Read the transcript
Yes. So, essentially, what Grace does, she connects to your PMS system. We collect certain data, like their date of birth and their phone number and their name, and we are able to actually pull the patient data and work with that patient. So extra details like any notes, special accommodations, insurance, et cetera are already covered inside their chart.
Will it follow my scheduling rules?
Yes. You set the rules at setup: what she books, how far out, new patient spots and cleaning intervals. If you want a rule changed, tell us.
Read the transcript
Yes. It doesn’t matter how complicated your rules are. If they’re connected to your PMS system and you tell us about it, we will make sure it follows it to the T. You’re not getting bookings at 2 AM with our system. You’re not getting quadruple bookings unless you want it. You set the rules on setup. We code that into our AI. For example, what she books, how far out she books, new patient spots, cleaning intervals. And if you want a rule changed ever, just tell us, and we’ll make it happen.
What if a patient wants a real person or the doctor?
She takes a message and sends it to your front desk. Your desk or the doctor calls them back.
Read the transcript
This actually does come up a lot. Just as I said before, she will take a message, and she will send it to your front desk, and your front desk will deal with it, either call them back or have the doctor call them back.
How does it handle a real emergency?
Grace flags urgent calls so your team can see them right away. She looks for the soonest opening. If there isn’t one, she sends your desk an urgent message.
Which PMS do you work with?
Grace books straight into Open Dental and Dentrix Ascend, and she works with other PMSs too. We confirm your setup on the demo call.
Is Grace HIPAA compliant?
Yes. Grace is fully HIPAA compliant. You sign a Business Associate Agreement (BAA) with us before she goes live, and our voice platform, AI provider and phone provider have all signed BAAs with us too. Patient data is never sold, and call recordings are deleted after 30 days.
Does it work for more than one location?
Yes. Each practice gets its own Grace and its own rules.
Cost and risk
What’s the guarantee?
A 100% money-back guarantee. If you’re not satisfied in the first 30 days, you get all your money back, no questions asked.
What’s pricing like?
One yearly price, based on how many locations you have. No setup fee and no add-ons. We go through it on the demo call. Nothing upfront.
How it runs
Does it really answer 24/7?
Yes, if you want it to. You choose when she picks up: lunch hours, after hours, after a set number of rings, or every call around the clock. Your phones still ring and your number stays the same.
Does Grace make outbound calls?
Yes. Grace handles inbound and outbound. Outbound covers appointment confirmations, filling open time, year-end benefits, balances and Google reviews.
Is it replacing my front desk?
No. We don’t replace your front desk. We take the phone off her. Grace handles the calls your team can’t get to, so they can stay with the patient in front of them.
Can it deal with insurance?
Grace checks the plan against the list your office gives us. If you’re in network, she says so. If you don’t take the plan, she says that up front and asks if they’d like to pay out of pocket. She doesn’t verify benefits. Your team still does that.

When we hop on the onboarding call with your front desk manager, we ask her what insurances you guys take. Grace is our AI. She’s able to essentially filter out insurances you guys do not take. So if somebody comes in saying, hey, look, I want to get a cleaning, but I have Medicaid, and you guys do not take Medicaid, we basically set up Grace where she says, unfortunately, we don’t want to set you something up and you walk in and you have a big bill. Then she asks if they want to pay with cash. That’s another alternative if they have insurance that you do not take. If you are in network, she’ll say, we are in network with Delta Dental PPO, for example, and we’ll verify your benefits before your visit. Regarding existing patients, we do connect to your PMS system, so we’re able to actually pull their data, all their information, their notes, et cetera. And Grace will know that knowledge, so she doesn’t really waste time asking for insurance on your existing patients. And once again, what she doesn’t do: she doesn’t go inside of their insurance and actually verify benefits for specific treatments, et cetera. That is something your team will still do.
How much of my time does setup take?
None of yours. Your office manager fills out one form in 20 to 30 minutes, then we take a 10 to 15 minute call. We build and test Grace within 48 hours.
Read the transcript
Nothing. Literally nothing. What we ask is, after we finish our call and we’re good to go, connect us with your office manager, whoever actually runs the show regarding the PMS. We send her one document that she fills out. It takes maybe twenty, thirty minutes of her own time to fill out, just to make sure we get everything right and we don’t break anything, because we want specifics down to the smallest detail to make sure everything flows correctly. Then after she fills out the form, we hop on a call and basically talk. I introduce myself, and I get to know you and how your whole team works a bit more, ten, fifteen minutes. I connect to your PMS system via screen share. Then within forty-eight hours from that time, we build out your system. We test the heck out of it, and we make sure it’s ready to go within forty-eight hours, so your phone lines are covered.
How will I know it’s working?
You get a call log on your phone or desktop with every call, a summary and tags. On day 30 we go through it with you.
Read the transcript
So, essentially, once it’s built and it’s connected to your phone lines, we will send you a dashboard, kind of like a mini website. You can go on your phone or your desktop, and you see every single call, a summary of what happened on the call, tags on who the patient is, what the call was about, directly, like booking a new cleaning, et cetera. You can request a recording of the call, and you can see your daily, weekly and monthly metrics on that dashboard as well. And on day 30, we come together. We review that dashboard and the extra data we do have, and we see what she’s done.
We already have this covered
How is it different from an answering service?
An answering service only takes a message, and your desk still has to call back. A lot of callers won’t leave one. Grace books the visit while they’re on the call.
Read the transcript
An answering machine only takes a message. It’s an automated message, and your desk still has to call back, and it can’t really do much. And a lot of the time when people do hear an answering machine, they don’t even leave a message. What they end up doing is just calling another practice down the street that’s actually able to answer the phone. Grace literally books the visit on your schedule while they’re still talking on the call. Once again, she knows your office, doctors’ hours, blockouts, insurance, and who’s already a patient. If she ever needs to take a message, which doesn’t happen often, the message will directly land in your PMS system, and we log every call that comes in.
Won’t patients just leave a voicemail or call back?
Existing patients usually will. New patients often won’t. They’ll call the next office.
Read the transcript
Look, this is true. I’m going to be completely frank. This is true when existing patients call regarding something small, like confirming an appointment or calling about a prescription, et cetera. But when it comes to new patients, I am telling you, you might be a good dentist, but unfortunately, people don’t look around trying to find the perfect dentist. If they have above a four star on Google, they’re just going to call another one. Unfortunately, your skills as a dentist can’t really be used to convince a patient to walk into the practice easily, unless you do social media, but that’s a completely different thing.
Do I have to switch phone systems?
No. Keep your phone system. Grace backs you up when you can’t get to the phone.
My front desk doesn’t miss calls. Do I need this?
Maybe. But most offices have no report of the calls that rang out. A quick test: ask your front desk how many voicemails are waiting on Monday morning.
We tried an AI before and it booked the wrong thing.
Grace only books what you tell her to. If she isn’t sure what needs to be booked, she leaves a message for your front desk.
